Diadem Strategies Inc.

Privacy Policy

Effective date: November 5, 2026 · Last updated: November 5, 2026

Diadem Strategies Inc., operating as The Diadem ("Diadem", "we", "us"), is a Calgary, Alberta company that matches business owners and individuals with independent licensed professionals (accountants, financial advisors, insurance advisors and lawyers) and coordinates their work under one plan. Diadem provides matching and coordination only. It does not provide accounting, tax, financial, insurance or legal advice; that advice is provided by the independent professionals you are matched with.

This policy explains what personal information we collect, how we use and share it, and the choices you have. It applies to thediadem.ca, our landing pages, booking pages, forms, chat and voice assistants, phone calls, text messages and emails. We comply with the Personal Information Protection and Electronic Documents Act (PIPEDA), Alberta's Personal Information Protection Act (PIPA) and Canada's Anti-Spam Legislation (CASL).

1. Information we collect

  • Contact details you give us: name, email address, phone number, company name and province.
  • Consultation intake information you give us so we can match you with the right professionals, such as whether your business is incorporated, an approximate range of annual retained corporate earnings, who currently handles your books and what you would like help with. We ask for ranges, not exact figures, and you can choose "not sure".
  • Booking details: the date and time you select and any notes you add.
  • Communications: emails, text messages, chat transcripts and phone calls with our team or our AI assistant. Calls may be recorded for quality and training; you will be told at the start of any recorded call.
  • Technical and advertising data collected automatically through cookies and similar technologies, including pages visited, device and browser type, approximate location, referring campaign and advertising identifiers (see section 5).

2. How we use your information

  • To schedule, confirm and remind you about your free consultation, and to contact you about it by phone, email or text message.
  • To determine which independent professionals are a good fit for you and to coordinate the first meeting.
  • To respond to your questions and provide customer service.
  • To measure and improve our website, landing pages and advertising.
  • To meet legal, regulatory and record-keeping obligations.

3. How we share your information

We share your personal information only as described here. We do not sell it.

  • Matched independent professionals. When you book a consultation, your contact details and intake information are shared with the independent licensed professionals matched to you, which may include an accountant, a financial advisor, a licensed insurance advisor and a lawyer, so they can prepare for and attend the consultation and any follow-up meeting. A licensed insurance professional may join the consultation. Each professional is independent of Diadem, is responsible for their own handling of your information, and is bound by the privacy and professional-conduct rules of their own licensing body.
  • Service providers that process data on our behalf, such as our customer relationship management and scheduling platform (GoHighLevel / LeadConnector), email and text-message delivery providers, video-meeting providers and website hosting. They may store data outside Canada, including in the United States, where it may be subject to local laws.
  • Advertising platforms such as Meta (Facebook and Instagram), as described in section 5.
  • Legal requirements: when required by law, court order or a regulator, or to protect our rights, property or safety.

4. Consent and your communication choices (CASL)

By submitting a form, booking a consultation or ticking the consent box, you consent to Diadem contacting you by phone, email and text message about your consultation and related services. You may withdraw your consent at any time: reply STOP to any text message, use the unsubscribe link in any email, or email [email protected]. Withdrawing consent may mean we cannot complete your booking. We will not send you marketing messages without your consent, and we will not share your information with a professional until you have consented.

Text messaging. Message frequency varies. Message and data rates may apply. Reply HELP for help and STOP to opt out. Your mobile information will not be shared with third parties or affiliates for their own marketing purposes.

5. Cookies, Meta Pixel and advertising

Our website and landing pages use cookies and similar technologies, including the Meta Pixel and Meta Conversions API, to understand how visitors use our pages, to measure whether our advertising leads to bookings, and to show relevant ads to people who have visited our pages. This may involve sending limited, hashed information (such as a hashed email address or phone number, the page visited and the action taken, for example "form submitted" or "appointment booked") to Meta Platforms, Inc., which may combine it with information it already holds and may process it outside Canada. You can limit this through your browser's cookie settings, through your Facebook and Instagram ad preferences, and through the Digital Advertising Alliance of Canada at youradchoices.ca. We do not use advertising tools to target people based on their financial situation.

6. AI assistants and call recording

Our website chat and our phone line may be answered by an AI assistant ("Kiara") that answers general questions and collects your contact and booking details. It does not give advice. Conversations with the assistant, and calls with our team, may be recorded and transcribed for quality, training and record-keeping. You will be told at the start of any recorded call and may ask to speak with a person at any time.

7. How long we keep your information

We keep personal information only as long as needed for the purposes above and to meet legal requirements. Consultation intake information for people who do not proceed with a professional is retained for up to 24 months and then deleted or anonymized, unless you ask us to delete it sooner.

8. Security

We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information, including access controls, encryption in transit and reputable service providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9. Your rights

You may ask to access or correct the personal information we hold about you, withdraw consent, or ask us to delete your information, subject to legal and contractual limits. To do so, email [email protected] or call 1-587-316-1691. We will respond within 30 days. If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada.

10. Children

Our services are intended for business owners and adults. We do not knowingly collect personal information from anyone under 18.

11. Changes to this policy

We may update this policy from time to time. The effective date at the top shows when it was last changed. Material changes will be posted on this page.
